1. Introduction

This Privacy Policy describes how Vidya Sagar Dadi (“we”, “us”, or “TopTaskAI”) collects, uses, and shares personal information when you use the TopTaskAI mobile application (the “App”) and related services (collectively, the “Service”).

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree with this Policy, please do not use the Service.

2. Information We Collect

2.1 Information You Provide

• Account information: Email address and password (passwords are hashed and never stored in plaintext) when you register. If you sign in with Apple or Google, we receive a unique identifier and the email address associated with that account.
• Apple “Hide My Email”: When you use Sign in with Apple, you may choose Apple’s “Hide My Email” feature. In this case, Apple provides us with a private relay address (in the form of xxx@privaterelay.appleid.com) instead of your real email address. We use this relay address as your contact email for all service communications. Apple forwards messages we send to your real address. You can revoke this relay at any time through your Apple ID settings.
• Profile data: Information you share during onboarding, including goals, work context, and preferences.
• Content: Tasks, messages, notes, and other content you submit through the Service.
• Communications: Information you send when contacting support.

2.2 Information Collected Automatically

• Usage data: How you interact with the App (features used, screens viewed, session length).
• Device data: Device type, OS version, app version, language, time zone, and unique device identifiers (used for push notifications).
• Diagnostic data: Crash logs and performance metrics.

2.3 Information We Do Not Collect

• We do not collect precise location data.
• We do not access your contacts, photos, calendar, or microphone except when you explicitly grant permission for a specific feature.
• We do not currently use any third-party advertising SDKs, marketing trackers, or analytics SDKs in the App.

3. How We Use Your Information

We use your information to:

• Provide, maintain, and improve the Service
• Personalize task suggestions and AI responses
• Send service-related notifications (e.g., reminders, account confirmations)
• Send optional marketing communications, where you have consented
• Process subscriptions and manage your account
• Respond to support requests
• Monitor and prevent fraud, abuse, and security incidents
• Comply with legal obligations

4. Legal Basis for Processing (GDPR / UK GDPR)

If you are located in the EEA or UK, we process your personal data on the following legal bases:

• Contract — To provide the Service you’ve subscribed to (Article 6(1)(b))
• Legitimate interests — To improve the Service, prevent abuse, and ensure security (Article 6(1)(f))
• Consent — Where required, including for optional marketing communications (Article 6(1)(a))
• Legal obligation — Where we are required by law to process data (Article 6(1)(c))

5. AI Processing

TopTaskAI uses artificial intelligence to help you manage tasks and conversations. To do this, the content you submit (messages, tasks, goals) is sent to Anthropic, PBC for processing by Claude, their large language model.

Per Anthropic’s commercial terms, inputs and outputs sent through their API are not used to train their models. Anthropic processes this data only to return responses to the Service and may retain it briefly for safety and abuse monitoring before deletion.

6. Third-Party Service Providers

We share information with the following service providers strictly to operate the Service:

Each of these providers is bound by their own privacy policies and contractual obligations to process data only on our instructions.

We do not currently use advertising networks, marketing analytics SDKs, attribution providers, or any third-party tracking technologies in the App.

7. Future Changes to Our Service Providers

We may engage additional service providers in the future, including (but not limited to) advertising attribution providers, analytics services, or marketing partners, to support the growth of the Service. If we do so:

• We will update this Privacy Policy to reflect the new providers and their purpose before they begin processing your data;
• Where required by law, we will notify you in advance and obtain your consent;
• We will update the relevant App Store and Play Store privacy disclosures to match.

You can always see the current list of providers in Section 6.

8. Data Sharing and Disclosure

We do not sell your personal information. We may disclose your information:

• To service providers as described in Section 6
• When required by law, regulation, court order, or governmental request
• To protect our rights, property, or safety, or that of our users or the public
• In connection with a merger, acquisition, or sale of assets (you will be notified of any such change in ownership)

9. International Data Transfers

The Service operates globally and your data may be processed in countries other than the one where you reside. Where required by GDPR or comparable laws, we rely on Standard Contractual Clauses or equivalent safeguards. By using the Service, you consent to your information being transferred to and processed in the countries listed in Section 6.

10. Data Retention

• Account data: Retained for as long as your account is active.
• Content (tasks, messages): Retained for as long as your account is active or as needed to provide the Service.
• After account deletion: Personal data is deleted from our active systems immediately when you delete your account through the App. Residual copies in encrypted database backups are purged within 30 days.
• Legal/audit data: Some records may be retained longer where required by law (e.g., for tax or fraud prevention).

11. Your Rights

Depending on where you live, you may have the following rights:

• Access — Request a copy of your personal data
• Correction — Request correction of inaccurate data
• Deletion — Request deletion of your data (see Section 12)
• Portability — Request your data in a machine-readable format
• Restriction — Request that we limit how we use your data
• Objection — Object to processing based on legitimate interests
• Withdraw consent — For processing based on consent, at any time
• Lodge a complaint — With your local data protection authority

For California residents (CCPA / CPRA): You have the right to know what categories of personal information we collect, the right to delete your personal information, the right to correct inaccurate personal information, the right to opt out of “sale” or “sharing” of personal information (we do not sell or share personal information as those terms are defined under the CCPA), the right to limit the use of sensitive personal information, and the right to non-discrimination for exercising these rights. To exercise any of these rights, email privacy@toptaskai.com.

For Indian residents (DPDP Act, 2023): You have the right to access, correct, complete, update, and erase your personal data, and the right to grievance redressal. To raise a grievance, contact privacy@toptaskai.com. We will acknowledge grievances within 7 days and resolve them within the timelines required by the Act.

12. Account Deletion

You can delete your account at any time from within the App: Settings → Delete Account. This permanently and irreversibly deletes your account, all your content (messages, tasks, profile data, streaks, and check-in history), and all associated personal data from our active systems immediately. Residual copies in encrypted database backups are purged within 30 days.

Important: Deleting your TopTaskAI account does not automatically cancel your App Store or Play Store subscription. To stop subscription renewals, you must separately cancel your subscription through your Apple ID Subscriptions settings (iOS) or Google Play Store subscription settings (Android). TopTaskAI cannot cancel platform subscriptions on your behalf.

If you cannot access the App, email privacy@toptaskai.com and we will process the deletion manually within 30 days.

13. Security

We use industry-standard security measures including:

• Encryption in transit (TLS 1.2 or higher)
• Encryption at rest for our database
• Password hashing using industry-standard algorithms
• Access controls and audit logging
• Regular security reviews

No system is completely secure. If we become aware of a data breach affecting your personal data, we will notify you and the relevant authorities as required by applicable law.

14. Children’s Privacy

The Service is not intended for users under 18 years of age. We do not knowingly collect personal information from anyone under 18. If we learn we have collected such information, we will delete it promptly. If you believe a child has provided us with information, please contact privacy@toptaskai.com.

15. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will reflect the latest revision. Material changes will be communicated through the App or by email at least 30 days before they take effect. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
